A cosmetic consult is a long conversation that has to end in a document: what the patient wants, what you told them is realistic, what you measured, what you photographed. Consents and pre-op paperwork done before the morning of surgery

Procedure specific consent, anesthesia consent, photo release, financial policy. The patient signs on their own phone from a secure link days ahead, which is included at no extra cost, and the signed PDFs are in the chart before they walk in. Getting started

Your first week running cases in DrinCloud

Day 1: open the account and look around

Sign up online in about three minutes and pay for the plan you want. There is no setup fee and no contract. Nobody has to book a demo or wait on a quote, and support is included on every plan from day one.

Day 2: import patients and set your fees

Bring your patient list in from Excel or CSV at no cost, then enter your procedures with their durations, rooms and prices. Set different fees per surgeon if you need to.

Day 3: consult form, consents, photo protocol

Build the consultation form for your two or three highest volume procedures, load the matching consents, and run one case end to end with photos attached.

Day 4: turn on the OR and the waiting list

Switch on the procedures and surgery module, set your block days, and move your scheduled cases in. Add the ones still waiting for a date to the surgical waiting list.

Day 5: quote, deposit, follow-up plan

Build a real quote, send it, take a deposit by card or link, and set the post-op visit sequence with its reminders so the next case runs without you thinking about it.

What we deliberately do not do, and why it suits a cosmetic practice

DrinCloud does not bill insurance. There is no claim submission, no clearinghouse, no eligibility check and no denial management, and we have no ONC certification because that program exists for practices reporting to Medicare. A cosmetic surgeon does none of that. When a case has a genuine functional component and the patient wants to try for out of network reimbursement, we print them a superbill with your NPI, EIN and the codes you entered, and the patient files it themselves. There is also no integrated e-prescribing, so in California, Florida, New York and the other mandate states you keep a separate e-Rx platform for your antibiotics and analgesics. If your revenue depends on reconstructive work billed to payers, buy a billing centered EHR instead. If it comes from patients who pay you directly, you are about to stop paying for machinery you never touch.

Questions we get asked

How do we start, and is there anything to sign?
You open the account yourself online, pay for the plan you picked, and start working. It takes around three minutes, with no sales call to book and no demo to sit through, and the software's built-in AI walks your staff through setup in their own language. No setup fee, no minimum term, and a full export of your data the day you decide to leave.
Can it bill a rhinoplasty with a septal component to insurance?
No, and no part of the software pretends otherwise. You charge the patient, and if they want to pursue out of network reimbursement you give them a superbill PDF carrying your NPI, your EIN and the CPT and ICD-10 codes you typed in. The claim is the patient's to file.
How does patient financing fit in?
The lender stays the lender. You build the quote in DrinCloud, the patient arranges their loan with whichever financing company you work with, and you record the amount received as a payment against the case. Staged payments and a deposit followed by a balance are both normal here.
We operate at an outside surgical center. Does that matter?
No. The OR calendar is yours to use as a block schedule for whichever facility you operate in, and the surgical waiting list works the same way. The facility keeps its own records; your case file, consents, photos and charges stay in DrinCloud.
Where do before-and-after photos live?
Attached to the visit date inside the chart, not on a phone. Any two can be opened side by side, which is what you want in a post-op visit and what protects you if a result is ever disputed. Canfield VECTRA and VISIA systems are used alongside for 3D and skin imaging.
How many surgeons and staff does a plan cover?
Clinic at $149/mo covers up to 3 users, Medical Center at $287/mo covers 4 to 30 across locations, and Large Clinics at $574/mo covers 31 to 50. Essential at $49/mo is a single provider, with portal, telehealth, web booking and CRM as $10/mo options. A year paid up front costs ten months.
We are leaving an EHR we hate. What comes across?
Patients come across from Excel or CSV for free, and that covers names, contact details, dates and the fields you can export. Photos and PDFs are attached as cases come back in. If you would rather not do it yourself, our team quotes an assisted migration.
What about prescriptions and controlled substances?
DrinCloud has no integrated e-prescribing, so you keep using your e-Rx platform. In states with an electronic prescribing mandate, including California, Florida and New York, that platform is not optional. Prescriptions you print or send as PDF are filed in the chart either way.
