Out-of-network billing

Superbill software for out-of-network and self-pay practices

A superbill is the itemized receipt your patient sends to their insurer to claim reimbursement. DrinCloud produces it with the identifiers, codes and amounts a plan expects, right after the visit is billed.

What a superbill is, and what has to be on it

It is not a claim. It is a detailed receipt the patient submits themselves, and it fails if a single identifier is missing.

  • Practice and rendering provider name, address and phone
  • Provider NPI and the practice tax ID or EIN
  • Date of service and place of service for each line
  • CPT procedure code with the fee charged for that line
  • ICD-10 diagnosis codes supporting each procedure
  • Amount already paid by the patient and any balance due

Codes you enter once, carried into the receipt

You type the CPT and ICD-10 codes on the billing line and they flow through to the superbill. No re-keying into a separate document.

  • CPT and ICD-10 entered directly on each invoice line
  • Several coded lines on one document for multi-service visits
  • Fee per line so the patient sees exactly what each service cost
  • No built-in CPT lookup: the code set is AMA property and needs a license
  • Codes stay attached to the visit for later review
  • Reissue or correct a superbill when a code changes

Payment first, reimbursement second

Out-of-network practices get paid at the time of service. The superbill is what the patient does afterward, on their own.

  • Collect in full at check-out by card, link or terminal
  • Superbill generated from the invoice already paid
  • Send it by email or hand the patient a printed copy
  • Works for a single visit or a course of treatment
  • Same document for cash-pay patients with no insurance at all
  • Payment status visible on the record if a balance remains

Keep the paper trail for when a plan asks questions

Insurers sometimes come back months later. Everything issued stays searchable and exportable.

  • Full history of documents issued per patient
  • Retrospective search across any field in the clinical record
  • Audit log showing which user created or changed a document
  • Export the full billing history to CSV
  • Access limited by user profile so front desk sees only what it needs
  • Automatic backups and a private instance for your practice

Honest about where the superbill stops

A superbill puts the reimbursement request in the patient's hands. DrinCloud does not verify benefits, does not check eligibility and does not send anything to a payer on your behalf. Whether the plan pays, and how much, is between the patient and their insurer.

FAQ

Questions we get asked

Will my patient's insurance accept a DrinCloud superbill?

That depends on the plan, not on the software. A superbill has to carry the provider NPI, the practice EIN, dates of service, CPT codes, ICD-10 codes and the amount paid. DrinCloud includes those fields.

Can I search for CPT codes inside DrinCloud?

No. CPT is owned by the American Medical Association and an integrated code search requires a license we do not resell. You type the codes you use into the billing line.

Do you check the patient's out-of-network benefits first?

No. There is no eligibility check. Many out-of-network practices ask the patient to call the number on their card and confirm their deductible before the first visit.

Is a superbill the same as a claim?

No. A claim is filed by the practice to the payer through a clearinghouse. A superbill is a receipt the patient files themselves. DrinCloud produces the second, not the first.
