You bring your own OpenAI account
The AI features connect to an OpenAI account that you own and pay for directly. The model relationship and any agreement with OpenAI are between your practice and OpenAI, not routed through us.

- AI usage billed by OpenAI to your account, not by DrinCloud
- Turn the feature off entirely per user or per clinic
- Any BAA with OpenAI is signed by your practice
- DrinCloud's own HIPAA BAA still covers the platform

Review and signature stay with the clinician
Language models get details wrong. The workflow assumes that, which is why nothing is filed automatically.
- Draft opens in edit mode, never auto-filed
- Clinician edits before the note is signed
- Original recording retained or discarded per your policy
- Patient consent to record captured on the intake or consent form
- Edits and signature timestamps kept in the audit trail
- Role permissions decide who may use AI drafting at all

Two things we will not pretend
First, this is not a hands-off scribe: a professional reads and signs every note. Second, it needs your own OpenAI account, which is an extra setup step and a separate bill. If either is a dealbreaker, the rest of the charting tools work perfectly well without it.
Questions we get asked
Is the AI scribe included in the price?
The feature is included in the platform. The model usage is not, because it runs through your own OpenAI account and OpenAI bills you directly.
Does it work in Spanish?
Yes. Drafting follows the language you work in, and the interface is available in English, Spanish and Portuguese per user.
Can the note be signed automatically?
No. A draft always waits for a clinician to review, edit and sign it. That is a design decision, not a missing feature.
Do I need to tell patients they are being recorded?
Yes. Record the consent on your intake or consent form before recording, and follow your state's recording rules.
