What a small practice needs from a calendar

In a practice of one to three clinicians nobody owns the schedule full time. The person who books the appointment is often the person who charts it and charges for it, so the calendar has to carry more than a name and a time. Availability in DrinCloud is defined by provider, by room and by service at the same time, and the calendar blocks a slot when any one of the three is already taken. That is what stops two clinicians from being booked into the same treatment room on a Tuesday.

Shift patterns are set per professional, per office and per specialty rather than against one fixed grid, with closing days and holidays handled as part of the same setup. The same schedule can be read as an agenda, as a planning view or as a day sheet, which matters when one person needs the week and another needs the next two hours. Recurring appointments cover a course of treatment, group sessions take a hard cap on participants, and clinics doing procedures get a separate operating-room agenda with its own surgical waiting list.

Cancellations are where a small practice loses the most money, because there is nobody free to work the phone at 8am. The waiting list holds the patients who asked for an earlier slot and offers the gap to them when one opens, so the hole closes without anyone chasing it.

Reminders go out by email or SMS, with WhatsApp available as an add-on, and the patient confirms or cancels from the message instead of calling. Patients can request an appointment from the portal for staff to approve, and the online booking widget sits on your own website showing real availability by provider and specialty, so a booking made at midnight is already in the calendar in the morning.

When the patient arrives, kiosk check-in on a tablet lets them register themselves and rate the visit on the way out, and a waiting-room monitor calls the next patient to the right room. Work and school attendance notes come out of the appointment in one click. Each provider's appointments can also mirror to their own Google Calendar.

For a practice paid directly by the patient the calendar is also the cash register. You can charge the visit or hold the slot with a deposit at the moment of booking, and a prepaid package of sessions counts itself down visit by visit. There is one honest limit worth stating here: DrinCloud sends nothing to an insurance company, so if your revenue depends on claims this is the wrong calendar to buy.
