Reports a small or solo practice will actually read
Every appointment, invoice and clinical note you record turns into numbers you can act on: production by provider, revenue mix, wait times, package consumption, and retrospective searches across the entire chart.
What the clinic actually did this month
Volume by service line, not just a count of appointments. Useful when you are deciding what to schedule more of.
- Consultations, procedures and surgeries counted by type
- Treatments and diagnostic tests performed
- Wait times measured from arrival to being seen
- Session packages sold versus sessions actually consumed
- Activity split by provider and by location
- Compare periods to see whether a change stuck
Where the money came from and where it went
Financial reporting built from the invoices and expenses already in the system, with no separate bookkeeping entry.
- Revenue split between private pay and insurer-referred work
- Production per provider and the payout owed on it
- Supplier expenses grouped by category
- Daily register reconciling cash and bank
- Outstanding balances by age and by patient
- Direct export to Sage plus CSV for anything else
Retrospective search across the clinical record
Ask a clinical question and get a patient list back. Any field you fill in becomes a field you can search on later.
- Query any field in the clinical record, not a fixed report list
- Build cohorts for a study, a recall or an internal review
- Combine clinical criteria with dates and providers
- Push the resulting patient list into a recall campaign
- Export the cohort to CSV for statistical work
- Repeat the same search later to track change over time
Who sees which numbers
Financial and clinical reporting rarely belong to the same people. Access is set per profile.
- Report access granted by user profile
- Providers can be limited to their own production
- Audit log of every user action with timestamp
- Access restricted by IP address if you want it
- Marketing source data from how did you hear about us
- Satisfaction survey results alongside operational metrics
Reports built from work you have already done
Nobody in a three-person practice is going to maintain a second system to get numbers out. Every report in DrinCloud is assembled from the appointments, invoices and clinical notes already in the record, so there is no separate bookkeeping entry and no monthly export ritual. The standard set covers production by professional, agenda occupancy, revenue, and the results of the satisfaction surveys sent after each visit.
The two numbers that change decisions in a small cash-pay practice are usually occupancy and production per clinician. Occupancy tells you whether the gap in Thursday afternoon is a pattern or an accident. Production per professional, combined with the compensation you set for them as a percentage or a fixed amount, produces the payout owed without anyone rebuilding it in a spreadsheet. Packages sold against sessions actually consumed is the third one, because prepaid sessions that are never used are revenue you have already banked and work you still owe.
Asking the record a question
Beyond the fixed reports there is a retrospective search that reaches any field of the clinical record, including the fields you invented yourself in the form builder. You ask a clinical question and get a patient list back, which you can combine with dates and providers, push into a recall campaign in the patient CRM, or export. That is how a recall gets built in a practice with no analyst: find the patients, send them the campaign, done in an afternoon.
Everything exports. The full data export in CSV and PDF is free, with nothing held back and no retention period, and it covers patient lists, invoices, appointments and the output of a search. We say this plainly because the question behind it is a fair one: you should be able to leave.
Who sees which numbers, and where this stops
Financial and clinical reporting rarely belong to the same people, so report access is granted per user profile, a provider can be limited to their own production, access can be restricted by IP address, and every user action is written to an audit log with a timestamp.
Two limits worth knowing before you buy. This is a set of built-in reports plus a search engine, not a business intelligence platform: there is no drag-and-drop dashboard builder and no data warehouse, so an analyst who wants pivot tables should take the CSV into the tool they already use. And DrinCloud is not ONC certified, which is the certification Medicare quality programs such as MIPS expect, so if you bill Medicare and report MIPS this is not the right system for you.
Reports, not a business intelligence platform
DrinCloud gives you built-in reports and a search engine that reaches every field of the chart. It does not include a drag-and-drop dashboard builder or a data warehouse. If your analyst wants pivot tables and custom models, export to CSV and work in the tool they already use.
Questions we get asked
Can I use this for MIPS or quality program reporting?
No. DrinCloud is not ONC-certified, which is what Medicare quality programs expect. If you bill Medicare and report MIPS, DrinCloud is not the right system for you.
What can I export, and in what format?
CSV for essentially everything: patient lists, invoices, appointments, report output and search cohorts. Accounting data also exports directly to Sage.
Can I see production and payouts per provider?
Yes. Set each professional's compensation as a percentage of production or a fixed amount, and the settlement is calculated from the invoices attributed to them.
How far back does the data go?
As far back as your records go. History imported from Excel when you start is searchable and reportable alongside everything entered afterward.
