A full block of weekly sessions, booked once and charged once
Private speech therapy and pediatric OT do not sell visits, they sell twelve weeks of Tuesdays at 4pm. DrinCloud books the whole series in one action, keeps each goal and every progress note in the child's chart, and gives the parent a portal where they fill in the history, sign, pay and read the home program. Families with out of network benefits leave with a superbill they can file themselves.
Book the block, not the appointment
After school slots are the scarce resource in a pediatric practice, and they get allocated in blocks of weeks. Set the recurring series once and DrinCloud writes every session into the agenda, each one tied to the therapist and the treatment room it belongs to.
- Recurring weekly or twice weekly series created in a single action
- Each session linked to a therapist and a room, so the sensory gym is never double booked
- Group sessions with a cap on participants, for social skills or handwriting groups
- Waiting list that offers the canceled 4pm slot to the next family automatically
- Online booking for evaluations, with live availability by discipline
- School calendars and closing weeks blocked out ahead of time
Goals on the plan, progress in the note
A treatment plan is the document that justifies the next twelve weeks, to the family and to yourself. Write the goals once in your own template, then let each session note reference them. Fields with memory carry prompts, cue levels and accuracy forward so the note takes minutes rather than an evening.
- Treatment plan with written goals, priced as its own service when you charge for the evaluation
- Progress notes per session, with last week's data already on the screen
- Your own evaluation template per discipline, speech, language, feeding or OT
- Outside evaluations, school reports and IEP documents attached to the child's file
- Draft the session note from a recording with one button, $20 a month per provider
- Discharge summary built from the plan when the block ends
The parent is the one reading this
The child is your patient but the parent is your client, and that parent is usually filling in forms at 10pm with a toddler asleep upstairs. Give them a portal instead of an email thread: developmental history before the first visit, consents signed by phone, the home program waiting for them after the session.
- Developmental and feeding history completed at home before the evaluation
- Consents and policies signed remotely by link, no printer involved
- Home program documents personalized and sent in one click
- Appointments, balance and receipts visible to the family at any hour
- Every family communicated with in English, Spanish, Portuguese or German
Prepaid blocks, and a superbill for the rest
Charging for twelve sessions up front smooths your revenue and makes the family commit to the plan. Each attended session comes off the balance, and whatever the family paid, they can take an itemized superbill to their insurer and chase the out of network reimbursement without you touching a claim form.
- Prepaid blocks of 8, 12 or 20 sessions deducted session by session
- Remaining sessions visible when the family checks in
- Installments for a long block, and sliding scale rates per family when you offer them
- Separate prices for the evaluation, the 30 minute session and the 45 minute session
- Superbill PDF with your NPI, EIN and the CPT and ICD-10 codes you enter
A missed week is lost progress
Attendance is clinical, not administrative. Reminders go to the parent by email, text or WhatsApp before each session, and the cancellation that comes in at noon gets offered to the family on the waiting list the same afternoon.
- Reminders to the parent by email and text, WhatsApp available as an add-on
- Cancellation handling that releases the slot and fills it from the waiting list
- Follow up scheduled from the chart, such as a reassessment six months out
- Referral source recorded per family, pediatrician, school or a neighbor
- Post-visit survey so a parent tells you what they would otherwise tell another parent
Teletherapy for the weeks life gets in the way
A sick week, a work trip or a snow day does not have to be a lost session. Video sessions run in the browser with no minute limits, which also makes parent coaching between visits practical rather than theoretical.
- Unlimited video sessions, included from the Solo plan up
- Parent coaching appointments scheduled like any other service
- Documents and home programs shared during or after the call
- A video session charged and receipted exactly like an in-person one
Everything else a private speech or OT practice gets on day one
All of it is in the subscription. Where something costs extra, it says add-on.
Attendance notes for school
Print or email a note confirming the child was in therapy during school hours, in one click, without retyping a thing.
Calendar sync
The clinic agenda mirrors into Google, Outlook or Apple Calendar for therapists who live out of their phone.
Kiosk check-in
Families check themselves in on a tablet in the waiting room, which keeps your front desk free during the 4pm rush.
Document templates
Handouts, school letters and home exercise sheets fill in the child's details and go out personalized.
Remote e-signature
Consents and policy forms signed by link from the parent's phone, with in-clinic tablet signing available through VidSigner as an add-on.
Payment links and card on file
Send a link for the next block and it gets paid before the first session of it.
Reports you can act on
Sessions delivered per therapist, agenda occupancy, revenue by service and how many prepaid sessions are still owed.
Google Reviews requests
Ask the parents who rated the visit highly to say so publicly, which is how a private practice fills its waiting list.
Permissions per role
An office manager handles scheduling and payments while clinical notes stay with the clinicians who wrote them.
More than one location
Two clinics or a satellite room run in the same account, each with its own agenda, on the Medical Center plan.
HIPAA with BAA included
Signed BAA on every plan, encryption in transit and at rest, continuous backup, and text message consent captured at intake.
Free data export
Take the whole caseload out to CSV or PDF any time you like, at no cost and with nothing withheld.
Your first week, realistically
Open the account and pay for it
Signup is online and takes about three minutes. There is no joining fee and nothing to cancel later, and support is included on every plan and answered the same business day while you set things up.
Bring your caseload across
Export your current list to Excel or CSV and load it at no charge. If evaluations and old notes need to come too, assisted migration starts at $600.
Build your evaluation and progress note templates
Recreate the way you already document, by discipline, then set up services, session lengths and the prepaid blocks you intend to sell.
Open the family portal
Switch on the developmental history form, the consents and the balance view, and turn on reminders for the parent rather than for the child.
Schedule the first full block and charge it
Create the recurring series, take payment for the block, and generate the first superbill for the family who asks for one.
The parts of this we deliberately left out
DrinCloud does not bill insurers. It produces no claims, talks to no clearinghouse, checks nobody's eligibility and has no ONC certification, which exists for Medicare reporting a private pediatric practice never files. There is no integrated e-prescribing either, which matters to almost nobody in speech or OT. The superbill goes to the family, and the family files it with their plan. If your funding comes from Medicaid, from a state early intervention contract or from in-network commercial plans, you need a claims system and we will tell you that rather than sell you this. If parents pay you directly and the insurance question is theirs to handle, you are looking at software written for exactly that.
A new name in the US. A platform with history behind it.
DrinCloud runs on the same platform our European clinics have used for years under the DriCloud brand. These are real Google reviews from those practices, translated from Spanish.
“Essential for managing my aesthetic clinics. I own six centers in different cities and I only have good words for the platform and its support.”
“It has meant a real step up in quality and technology for our administrative and medical staff, and for our patients too.”
“Absolutely essential for running a private practice. They are always improving it, it is easy to use, and it brings the chart, billing and images together in the cloud.”
