DrinCloud vs TherapyNotes: an honest comparison for behavioral health

TherapyNotes is the behavioral health specialist and it earns the name: 24/7 phone and email support on every subscription, insurance claims in the price, note formats written for therapists. DrinCloud is the US edition of a clinic system with 12+ years and 8,000+ clinics in 14 countries, built for practices paid directly by the patient. Read this first: if your practice bills insurance, buy TherapyNotes and close this tab, because we file no claims at all. If your patients pay you directly, you run three clinicians or more, or part of your schedule speaks Spanish or Portuguese, the rest of the page is for you. Prices on pricing, the rest in all comparisons.

The final score
DrinCloud
3.8/5

TherapyNotes
3.4/5
★★★☆☆

TherapyNotes is a serious, well built product with a deliberate target: mental health practices that bill payers. Claims, remittances, insurance aging reports and ePrescribe with EPCS are included or one add-on away, the note formats (SOAP, DAP, BIRP and its own) were written for therapists, outcome measures are scored for you, and support is 24/7 by phone and email on every subscription. Nobody else in this market offers that last one, us included. DrinCloud is built for the cash-pay side: one flat price per practice size, the clinical record and the superbill in every plan from $49, the AI scribe at $20 per provider, telehealth and the portal from the $107 Solo plan, the patient CRM from the $119 Clinic plan, and no claims engine at all, on purpose.

The math that matters: one clinician with AI notes is $69 a month here (Essential $49 plus the $20 scribe) against $109 there (Solo $69 plus TherapyFuel $40). Three clinicians, $179 against $299. Six, $407 against $569. TherapyFuel is the most expensive AI scribe of the nine platforms we track, double our price per head. The mirror image is insurance: TherapyNotes takes that block 5.0 to our 1.0, and for a pure behavioral health practice that already bills payers, DrinCloud is the wrong option.

Methodology: data comes from the official public pages of therapynotes.com and its help center at support.therapynotes.com (pricing and subscription options, appointment reminders, TherapyFuel, TherapyPortal, scheduling, ePrescribe, security, account termination) and from drincloud.com, checked on November 2, 2026. Each cell is scored Yes = 1 point, partial or plan-limited = 0.5, No or Not documented = 0; purely informational pricing rows do not score. A block's score is its points divided by its scored rows, on a 5-point scale, and the final score is the weighted average of the seven scored blocks: pricing and transparency 20%, clinical record and AI 25%, scheduling and patient communication 15%, getting paid 15%, languages and patient experience 10%, insurance, claims and prescribing 10%, and integrations and data 5%. This comparison is published by DrinCloud: we are an interested party, which is exactly why every claim points to a public source with a date, and why we mark a cell 'Not documented' instead of 'No' when a vendor's site is silent. If you find an outdated cell, write to info@dricloud.com and we will correct the data and the score.

The stickers say most of it: $49 against $69 for one person, and then the models part ways. TherapyNotes charges $50 per clinician forever and $40 per clinician for AI, so six people pay for twelve seats. We charge by band, so clinician five on Medical Center is free. They win three rows and we are not hiding them: a free trial we do not offer, administrative users we do count, and support we cannot match.

The real math

The real math: three scenarios

ScenarioDrinCloudTherapyNotes
Solo clinician with AI notes$69/moEssential $49 plus the $20 scribe, annual billing$109/moSolo $69 plus TherapyFuel $40, before reminders
3 clinicians, AI for everyone$179/moClinic $119 covers 1 to 3 users, plus 3 x $20$299/mo$79 + 2 x $50 = $179, plus 3 x $40 = $299
6 clinicians, AI for everyone$407/moMedical Center $287 covers 4 to 30, plus 6 x $20$569/mo$79 + 5 x $50 = $329, plus 6 x $40. Administrative staff are free

Arithmetic with the rates published in the TherapyNotes help center and on drincloud.com/pricing, checked November 2, 2026, assuming every clinician uses AI notes. DrinCloud figures are the annual rate; monthly billing runs $59, $143 and $344.

Ask any vendor the two questions we would ask: what does clinician number four cost, and what does AI for the whole team cost. Their answers are $50 a month and $40 per clinician. Ours are nothing, because the band covers the fourth, and $20 per provider. The caveat in their favor: three administrators and two billers cost them nothing and count as users for us. Count your heads before you decide.

The heaviest block, and the closest. TherapyNotes gives a therapist three things we do not: note formats built for behavioral health, outcome measures that score and chart themselves, and an AI that drafts the treatment plan as well as the note. If documentation on day one decides it, they win. Our answer is breadth and price: memory fields, a clinical assistant on every plan, a patient chatbot, and the AI scribe at half their price per head.

The core calendar is a draw and both sides should admit it. TherapyNotes takes three rows: group therapy, a native mobile app, and automated voice reminders at the same 14 cents as their texts. We take the rows that come from running physical clinics: booking that charges a deposit on the spot, a waitlist that refills cancellations by itself, tablet check-in and WhatsApp. Our texts work out to 12 cents in packs of 300.

Both charge cards and both print what a patient needs, so two things decide it. The rate: theirs is 3.1% plus 30 cents all in, ours is your own Stripe account, standard pricing being 2.9% plus 30 cents online, and any volume discount you negotiate stays yours. Then what a cash-pay practice does all day: deposits at booking, a sliding scale per patient, products with stock, signed estimates. Our superbill carries NPI, EIN, CPT and ICD-10.

Give TherapyNotes the best cell on the page. Phone and email support, 24/7, on every subscription, is something we do not offer and nobody else in this market offers either; ours is email and WhatsApp with video sessions, in business hours. They also have a directory and a community we cannot match. Our ground is narrower and deeper: the interface in each user's language, each patient tagged with their own, and Portuguese, which they have nowhere.

This block is not close and no wording fixes it: 5.0 to them, 1.0 to us. If claims pay your rent, buy TherapyNotes. For a pure behavioral health practice that already bills payers, DrinCloud is the wrong option, full stop. We left the claims engine out because it is what makes most EHRs heavy and expensive, and a cash-pay practice never touches it. We also do not hold ONC certification: it is voluntary and only matters if you bill Medicare. The superbill the patient files we do produce, with NPI, EIN, CPT and ICD-10.

Both sign a BAA and both let your data out, which is what matters when you are working out whether you could leave. Two differences in our favor: an importer you run yourself with any Excel or XML file, free, and a written statement that patient data never trains the models, which their help center does not address. One against us: they document two-factor authentication and we do not. More in alternatives to DrinCloud.

The honest answer

Which one fits you?

TherapyNotes is the better fit if...

  • You bill insurance. Claims, remittances, aging and write-off reports are in the subscription and we have none of them. For a practice already billing payers, buy TherapyNotes.
  • You want support at 2am. Phone and email, 24/7, on every subscription. Nobody else does that, and our email and WhatsApp in business hours is not the same.
  • You prescribe. ePrescribe at $65 a month per prescriber covers EPCS and PDMP lookups; we print or send PDFs, which is not enough in CA, FL, NY, MI, MN or DE.
  • You want therapist-grade documentation on day one: SOAP, DAP and BIRP formats, outcome measures that score themselves, and AI that drafts the treatment plan too.
  • Your team is heavy on administrative staff: unlimited administrators, schedulers and billers at no cost, which beats us and beats SimplePractice at $74 per clinician.
  • You want a free trial, a mobile app, or group therapy as a core service. Against the other big name, see TherapyNotes vs SimplePractice.

DrinCloud is the better fit if...

  • Your patients pay you directly and a claims engine is dead weight you would rather not fund.
  • You are three clinicians or more: $179 against $299 at three, $407 against $569 at six, AI on for everyone.
  • You want the AI price written down: $20 a month per provider for drafting, half of TherapyFuel, and the clinical assistant included.
  • Part of your schedule speaks Spanish or Portuguese: interface per user, reminders and documents in each patient's language. They have a Spanish portal and no Portuguese.
  • Your practice is not only behavioral health: psychiatry, psychology, nutrition and medical specialties share one record.
  • You want money taken at booking, not an appointment request you have to approve.
  • You live off repeat visits: post-visit surveys, event-triggered campaigns and referral-source tracking, included from the Clinic plan.
  • Your front desk is physical: tablet check-in, a waiting room screen, a waitlist that refills cancellations, excuse notes in one click.
  • You sell products: supplements and materials invoiced with stock deducted automatically.
  • You want storage in the price and the exit door open: 1 TB on Clinic, unlimited on Medical Center, free export. See pricing.
FAQ

Questions about this comparison

I bill insurance for some clients. Can I still use DrinCloud?
Not for the insurance part, and we would rather say it twice than once. DrinCloud files no claims, checks no eligibility and posts no remittances. What we do produce is the superbill with NPI, EIN, CPT and ICD-10 that the patient submits for out-of-network reimbursement, which works when clients pay at the time of service. If payers pay you directly for most of your sessions, TherapyNotes is the correct purchase.
Can I migrate from TherapyNotes to DrinCloud?
Yes, the import is free and you run it yourself. Export your client list from TherapyNotes, which its help center tells you to do before cancelling anyway, and upload the Excel or XML file with the importer built into DrinCloud. Chart PDFs attach to each patient's file pool. If an import came out wrong you delete it whole and upload it again corrected, with no fee. Signup takes about 3 minutes and one month is the smallest commitment.
Why is TherapyFuel $40 and your scribe $20?
Because TherapyFuel does more than draft a progress note: it also writes treatment plans and client history summaries, and TherapyNotes prices it per clinician accordingly. Our scribe drafts the note for $20 a month per provider, the clinical assistant is included on every plan, and the patient chatbot is $20 a month per practice. At six clinicians that gap alone is $120 a month. Patient data never trains the models.
Is their 24/7 phone support really better than yours?
Yes. TherapyNotes publishes 24/7 phone and email support as included in every subscription, and no other platform in this market does. Ours is email and WhatsApp with video sessions, in business hours, in English, Spanish and Portuguese. If a Sunday night problem means somebody has to pick up a phone, weigh that seriously: it is the one row where they beat everyone and we are not going to dress it up.
Where does the final score come from?
From the tables on this page and nothing else. Every scored row gives each product 1, 0.5 or 0 points, each block becomes a score out of 5, and the final number is the weighted average with the weights in the methodology. DrinCloud comes out at 3.8 and TherapyNotes at 3.4, with their 5.0 in insurance against our 1.0 inside that average. Redo the math yourself: we expect you to.
Is this comparison impartial?
It is published by DrinCloud and we say so up front. That is why every TherapyNotes cell comes from its public site or help center with a check date, why undocumented features read 'Not documented' instead of 'No', and why the rows they win, insurance and 24/7 support above all, are printed in the same type size as ours. Spot an outdated cell and we will fix the data and the score.
