Mental health practice management software

Practice management software for a mental health practice that bills the client, not the plan

Scheduling, progress notes with an AI scribe, teletherapy, the client portal and superbills in one system, priced for a practice of one to five clinicians. If your clients pay you and file their own out-of-network claim, this is built for exactly that. If you bill payers directly, read the honest part below before you go any further.

Progress notes in the format you already write

Mental health notes are not a generic medical form. The chart builder lets you make the one you use, and the fields remember what came before.

  • Build SOAP, DAP, BIRP or your own structure, field by field
  • Intake, treatment plan and discharge as separate templates on the same client
  • Fields with memory carry presenting problem, risk and medication forward
  • Smart text snippets for the sentences you type every week
  • Attach assessments, releases and correspondence to the visit they belong to
  • Co-sign a supervisee's note, with the record of who signed and when

The AI scribe at $20 a clinician, with no counter running

Record the session with the client's consent and the draft is waiting when you finish. You read it, you change it, you sign it. The note is never filed without you.

  • $20 a month per clinician, no minute bundles and no per-note price
  • Nothing to configure and no API key to paste in
  • The clinical assistant is included on every plan at no extra cost
  • Compare: TherapyNotes charges $40, SimplePractice and Sessions Health $35

Teletherapy included, not metered

Video is where a lot of this work happens now, so charging by the minute for it makes no sense. It is in the plan from SOLO up and there is no meter.

  • Unlimited video sessions, in the browser, nothing for the client to install
  • One click from the calendar entry into the room
  • Group sessions on the same calendar as individual work
  • Take the fee before the session connects if that is your policy

Superbills your client can actually file

The whole model depends on this document being right. A missing identifier and the reimbursement is refused, and the client blames you, not the plan.

  • Rendering clinician name, NPI and the practice EIN on every one
  • CPT codes you enter, with the fee charged on each line
  • ICD-10 diagnosis codes supporting each procedure
  • Dates and place of service, amount paid and balance
  • Emailed to the client or downloaded from the portal

A calendar built for recurring work

Therapy runs in series, not one-off visits, and the schedule should know that.

  • Recurring weekly or fortnightly slots booked as a block
  • Reminders by email, SMS and WhatsApp, with consent recorded
  • A waiting list that refills a cancelled hour the same morning
  • Online booking on your own site, with a deposit if you want one
  • Late cancellation and no-show fees applied from the appointment

Privacy your licence depends on

Mental health records carry more risk than most. The controls are the ordinary ones, done properly.

  • HIPAA ready, with a BAA signed at no extra cost
  • Encryption in transit and at rest on Microsoft Azure
  • Access by role, so admin staff never see the clinical note
  • A full audit trail of who opened which record and when
  • Full CSV export of everything, whenever you ask, free

What this costs at one, two and three clinicians

One clinician on ESSENTIAL is $49 a month billed annually, plus $20 for the AI scribe, so $69. Two clinicians share the CLINIC plan at $119 and pay $40 for two scribes, so $159. Three is the same $119 plus $60, so $179. Above three, each extra user is $15.

The reason that curve is flat is that the price moves in practice size bands instead of per seat. Most of this market charges per clinician, so their line keeps climbing while ours stops. At three clinicians with AI notes on, TherapyNotes is $299, SimplePractice $352 and Jane App $194 against our $179. The whole table, with the source for every figure, is in the US pricing index.

Be careful with the comparison though. Carepatron, Noterro, Cliniko and Zanda all come out cheaper than we do at that size, and we say so on the same page where we publish our own number.

The honest part: we do not bill insurance

DrinCloud produces superbills. It does not submit claims, check eligibility, post ERAs or work denials, and it is not ONC certified. There is no clearinghouse behind it and there never has been.

For a practice where clients pay at the time of service and file their own out-of-network claim, that is the point: you are not paying for a claims engine you never open. For a practice that bills Medicare, Medicaid or commercial panels directly, it is a hard no, and TherapyNotes or Tebra is the correct purchase. We would rather you read that here than find it out in month two.

Roughly a third of psychotherapists in US private practice accept no insurance at all. That is who this is for.

Your clients, in their own language

The interface, the client portal, the intake forms and the reminders all work in English, Spanish and Portuguese, and the choice is per client. Your front desk can work in Spanish while a colleague works in English, in the same practice and the same database. No other platform on our pricing index does this.

FAQ

Frequently asked questions

Is this an EHR or practice management software?

Both, in one subscription. The scheduling, billing and client communication sit in the same system as the clinical record, so nothing is retyped between them. There is no separate charting module to buy.

Can I use my own note format?

Yes. The chart builder is a form builder: you decide the sections and the fields, per specialty and per visit type. SOAP, DAP and BIRP are all just arrangements of fields, and you can build any of them or something of your own.

What does the AI scribe cost and is there a limit?

$20 a month per clinician, with no minute bundle, no per-note charge and no appointment cap. Switch it on from any plan with one button.

Do you take insurance claims?

No. DrinCloud generates superbills for the client to submit themselves. It does not file claims, verify benefits or post remittances, and it is not ONC certified. If you bill payers directly this is the wrong product.

How many clinicians can share one subscription?

CLINIC covers one to three users for $119 a month, and each user above three is $15. From four to thirty users the MEDICAL CENTER plan is $287 and does not move as you hire.

Is there a free trial?

No. Sign-up is online, paid, and takes about three minutes, and the smallest commitment is one month with no setup fee and no minimum term. If you want to see it first, there is a demo environment with data already in it.
